Ģý strives to make managing your business as simple as possible and today we’ve released some updates to user roles and permissions so you can invite external people to your company on Ģý as Advisors.

Many businesses work with external people and services like accountants, payroll managers and HR consultants to help manage one or more parts of their business.

Advisors in Ģý can be your payroll provider who has to log in to pull the latest salary information, or an HR consultant who is in charge of hiring new employees. Advisors have full admin permissions so they can easily manage things behind the scenes.

Advisor accounts are similar to normal admin accounts – they have full access to add new employees, view or edit employee profiles, upload or edit documents, review expenses and time off requests, setup new apps, view reports, export data and more.

What makes Advisors different from normal admins is that they don’t have a profile so they won’t appear on the org chart or in the people directory. They also can’t request time off, submit expenses like normal employees and they’re not included in your monthly bill.

To add or become an Advisor: go to an employee’s profile and select the Job Details tab, under Account Permissions you can select Advisor role.

We’ve been listening to your product requests and we’ve ticked a few off our list recently. Here are some of the most requested updates we’ve released recently:

Expenses Updates: More Currencies, Built-in Conversion, and More

If you’re a growing business and/or going global you’ll probably have employees around the world and be working with several currencies, so we’ve added wider currency support to Ģý.

Now you can add expenses in any currency for those business trips abroad and set employee salaries for your team members around the world.

To make things easy for you Ģý even has built-in automatic conversion using live up-to-date exchange rates. For Expenses you can set your preferred default currency in .

We added a few other small features for Expenses as well:

You can now add mileage based expenses which will auto-calculate total based on the default rate for miles and kilometers. Set the default rate in your . Also, Claims are now exportable and printable so you can download a PDF of a claim with all the receipts attached.

New HR reports: Salary Profile and Starters & Leavers

With the new Salary Profile report, available in your , you can now see a breakdown of your company’s total payroll costs broken down by team. If you pay employees in multiple currencies, Ģý will even consolidate everything into a single currency so you get a clear picture of your real annual payroll costs.

We also added a report so you can visualise how many people joined and left your company within a selected date range.

Oh, and you can now also to view and export any data you want!

 

People Profile Updates: Long Term Absence and Offboarding

We know that employees come and go, sometimes for good, which is why we’ve added more control for handling people who are on Long Term Absence or leaving your team permanently.

You can set an employee’s status to Long Term Absence by going to their profile, selecting Job Details, and then setting their Account status. Ģý will remind you when an absence is approaching or when an employee is due to return from absence.

If an employee is leaving your company, or was temporary and their contract has finished, you can offboard them to archive their account and hide them from the dashboard and people directory. You can set an employee’s Leaving Date in advance and Ģý will remind you when it’s approaching. Read up on Offboarding employees .

 

Time off and Company Profile app updates

And in our efforts to continually make Ģý easier to use, we’ve updated the page to make it easier to see at-a-glance what your policy’s settings are.

You also might notice a refreshed look for the app – we’ve redesigned the overview page to provide a place for store important notes and information about your business, providing a great resource for current employees and new starters!

Today we’re super excited to announce the release of three new features. They’ve been so frequently requested that we considered turning it into three separate releases… but they’re ready and we didn’t want to make you wait, so we put them all into one super special update.

#1 Custom Fields

Custom Fields solves about 25% of customer requests in one swoop… so we’re delighted to be able to ship this.

With Ģý’s new Custom Fields feature companies can now add custom employee fields to the platform. Need to track a specific Employee ID, or want to track who has a Student Loan? Want to ask people’s t-shirt size or favourite food? You can set up Ģý to collect pretty much any information you like with Custom Fields.

Here are just a few examples of what you might like to collect:

For each custom field you can also choose whether it shows up in the onboarding process and set the privileges for admins and employees. That means you can now customise your entire onboarding process as well.

 

#2 Organisational Chart

If you’ve wanted to visualise your organisation structure – this is for you. You can now view your org chart in an interactive chart within the People section of Ģý.

#3 Advanced Part Time Employee Support

Do you employee staff on Part Time contracts and want to prorate your standard holiday policy based on the hours that each staff member works? NowĢý allows you to do that, along with other features designed for managing part-time employees effectively.

Sometimes, it’s the little things that matter. Like your colleague thoughtfully making you a cup of tea when you’re up against a horrible deadline.

We like to think of our recent updates to Ģý that way too. Big things are great, (and we’re working on a lot of them!) but the little things add up to a lot. Especially when they are things that you have asked us for, that are going to make all the difference to your day.

Manually adjusting time off balances

Keeping track of time off without holiday spreadsheets is one of the great joys of using Ģý.

But we all know that sorting out time off can end up being way more complex that it appears at first sight. We’ve heard from you that you are doing some really cool things for your hardworking people. You’re giving extra holiday days for hitting bonuses and milestones, for long service, or for going the extra mile by working at weekends and on days off (sometimes called “time off in lieu”).

We discovered there was a real need for our customers to manually adjust an employee’s time off balance.

So we’ve made it easy to do this in Ģý.

Displaying and Filtering People Directory Records to suit you

We’ve heard that you love our clean, visually appealing people app. And you asked for ways to view it more flexibly – maybe you don’t always want to scroll through every team and location just to see who’s new in the Bristol office. So we added the ability to sort and filter it by team location, employment type, account status, team, or location.

Time Off Improvements

If you’re looking closely, you’ll see the time off app has changed. We’re preparing for some important new features and options you’ve asked us for, including support for part time employees. , and watch this space for more updates.

Ģý Updates

Finally, we’ve had a lot of feedback about our pricing too. So we’ve had a think and we believe we’ve made it more transparent, simpler, fairer and better suited to your budgets.

We’ve reduced the cost of the paid plan to £2 per user per month and the Free plan is now available for unlimited employees. We’ve also updated the features available in each plan. Everything is here on our Ģý Guide. And you don’t have to do anything, except spend the money you’ve saved on something cool for your hardworking employees.

Since launching Ģý we’ve been awed by how many wonderful businesses, charities, and organisations large and small have taken time to give us super useful feedback to make Ģý better for everyone. Thank you to each and everyone of you.

We’re pleased to announce our second app for Ģý – our Expenses reporting and management app!

The provides a simple way for all your employees to submit expense claims and equipsmanagers with an easy, streamlined process to review and approve claims.

 

For everyone in the business

Once you’ve enabled the you’ll be able to select which employees are eligible to submit expenses. You’ll also be able to set whichemployees are claim reviewers – these people will be able to see expenses submitted by everyone and approve or reject them.

Simple claim flow

Expenses are submitted for review in a Claim (claims are just groups of expenses submitted together). Firstly, add your expenses one by one — you can also attach a receipt as an image or PDF file. Next, you can select the expenses you’d like to claim, add them to a new claim, then submit the claim for review.

We’ll notify managers or admins that are set as claim reviewers via email that there is a claim to look at. They can review the expenses and either approve or reject the claim. Rejected claims will be returned to the submitter to update or discard. Once a claim is approved the reviewer can mark it as reimbursed when the employee is paid back.

We’re delighted to be able to release thefirst app forĢý – our integration of Slack; a real-time messaging platform used by millions of people. Slack was the most voted for in our app directory (head over and help us decide on what we build next!).

One of the benefits of having all your people data in Ģý is that you get notifications for all the key company dates like people’s birthdays, work anniversaries and time off requests. With this integration of Slack, these notifications will now show up in your team chat channel so you’re always on top of what’s happening.
